At Real Rome Tours, we understand that travel plans can change. We strive to be fair and flexible with our cancellation policy while also accounting for the costs we incur, such as non-refundable tickets and our obligation to compensate guides for tours canceled with short notice.
Please note that cancellation procedures vary slightly between our “Book a Popular” tours (available for instant booking on our website) and our customized tour itineraries, due to the different payment structures involved.
1. Cancellation Policy for “Book a Popular” Tours
To cancel your “Book a Popular” tour booking, please use the link provided in your confirmation email.
Important Note on Fees:
The price you pay for our “Book a Popular” tours includes a tour fee (covering guide fees, audio guides, administrative costs, etc.) and any applicable entrance ticket fees (e.g., Colosseum, Vatican Museums, Pantheon).
Please be aware that entrance tickets are non-refundable. When we purchase these tickets on your behalf, we must often register them with your name. These tickets cannot be transferred to other individuals, and the venues do not offer refunds to us. Therefore, we cannot refund the ticket portion of your tour cost.
The remainder of your tour fee, excluding the non-refundable ticket portion, is refundable according to the schedule below:
- Cancellation up to 30 days before your tour: A 10% cancellation fee will be applied. This fee covers the non-refundable transaction costs charged by our payment processor.
- Cancellation up to 7 days before your tour: A 25% cancellation fee will be applied. You will receive a 75% refund of the tour fee.
- Cancellation up to 72 hours before your tour: A 50% cancellation fee will be applied. You will receive a 50% refund of the tour fee.
- Cancellation up to 24 hours before your tour: An 80% cancellation fee will be applied. You will receive a 20% refund of the tour fee.
- Cancellation less than 24 hours before your tour or no-show: A 90% cancellation fee will be applied. You will receive a 10% refund of the tour fee.
2. Cancellation Policy for Customized Tour Itineraries
At Real Rome Tours, we specialize in creating personalized tour itineraries in collaboration with our clients. This ensures that your tour perfectly matches your specific interests and preferences.
The booking process for customized itineraries involves:
- Itinerary Confirmation: We will work with you to design your ideal itinerary.
- Quote Acceptance: Once you approve the itinerary, we will provide you with a detailed quote.
- Invoice and Deposit: Upon your acceptance of the quote, we will send you an invoice for the total tour amount via Stripe. A separate payment request for a non-refundable deposit of 30% of the total tour cost will then be sent to secure your booking.
- Final Payment: After receiving your deposit, we will update your original invoice to reflect the deposit payment. The remaining 70% balance is due no later than 30 days before your first tour date.

The cancellation policy for the 70% final payment of customized tour itineraries is as follows:
- Cancellation more than 7 days before the tour date: You will receive a 75% refund of the 70% final payment.
- Cancellation between 72 hours and 7 days before the tour date: You will receive a 50% refund of the 70% final payment.
- Cancellation between 24 and 72 hours before the tour date: You will receive a 25% refund of the 70% final payment.
- Cancellation less than 24 hours before the tour date: You will receive a 10% refund of the 70% final payment.
Please note that the 30% deposit for customized tour itineraries is non-refundable.
